Use Case · Waitlist

A waitlist that ranks itself.
Top prospects surface first.

For indie makers, pre-launch SaaS, and creators going to market: Brieform turns your waitlist into a structured intake with qualifying questions — then your AI reads and ranks signups so you invite the right users first.

Why a "Notify Me" form is leaving money on the table

The default waitlist is an email field and a button: "We'll let you know when we launch." It works, but it's information-poor. When you finally open up access, you have a list of email addresses with no signal about who's the most qualified, who'd pay first, or who'd churn within a week. So you invite everyone at once, your servers strain, and your most qualified prospects mix with low-intent bystanders.

A better waitlist asks two or three more questions: what would you pay, what's your biggest pain, what's your role. Then it ranks signups by those answers so you can invite in waves — power users first, edge cases for testing, low-intent users last (or never).

The catch: ranking 500 signups by hand in a Sheet is no fun, and the kind of person who launches a waitlist usually doesn't have an analyst on staff.

Brieform ranks the waitlist for you

The waitlist wizard collects the qualifying questions. Your AI reads every signup and can rank, filter, or compare them in natural language — no spreadsheet required.

Qualifying questions so signups arrive with context, not just an email address
Branded confirmation email that sets expectations and shows queue position
Read signups in your AI chat — ask to filter by budget, role, or pain in natural language
Route high-intent signups to Slack or Notion through your AI (if already connected)
CSV export to import into your email tool of choice
GDPR-native consent — EU-hosted (Frankfurt), compliant by default

A Brieform waitlist flow

You're launching a SaaS for solo legal practitioners. The waitlist asks: name, email, firm size, current pain (open text), monthly software budget, and "what would make this a no-brainer for you?"

  1. 1

A solo attorney signs up — 2-attorney firm · pain: contract review takes 3 hours · budget: $50–100/mo

  2. 2

Confirmation email goes out: "Thanks Sarah — you're #43 on the waitlist. We're inviting in waves of 50; you should hear from us in 2–3 weeks."

  3. 3

Ask your AI: "Show me this week's waitlist signups with budget over $50/mo" — it calls get_responses and returns them inline

  4. 4

Ask your AI: "Who are the top 5 ICP-match signups?" — it reads the qualifying answers and ranks them

  5. 5

If your AI has Slack connected, ask it to post high-intent signups to #waitlist-hot

  6. 6

Export CSV at any time to import into your email tool for the launch invite wave

FAQ

Can I show people their queue position?

Yes — Brieform exposes a count variable you can use in the confirmation email. "You're #243 on the waitlist." It's optional and adjustable.

Can I read signups without opening a spreadsheet?

Yes. Ask your AI to call get_responses — it returns submissions inline. You can ask: 'Show me signups with budget over $50/mo' or 'Who are the top candidates based on their answers?' Your AI reads the structured fields and responds in natural language.

Can I export the waitlist to my email tool?

Yes — CSV export is on every plan, including Free. Download from the Brieform dashboard and import into Mailchimp, ConvertKit, Resend, or whatever you use for your launch invite.

Should I gate the waitlist with payment?

That's a strategy choice. Some founders take a $1 commitment to filter signal; that's a separate flow you'd build using the order form template plus a Stripe link in the confirmation email.
